1. Who we are
The Louk is a luxury ski & après-ski rental business based in Comber, Northern Ireland. We are the “data controller” responsible for your personal data. Contact us at theloukni@outlook.com or on 07827 322027.
2. What we collect
- Contact details — your name, email address, phone number, and where relevant your location/region.
- Booking & rental details — appointment times, items hired, dates, trip details, and notes you provide.
- Payment information — processed securely by Stripe. We do not see or store your full card number; Stripe retains your card securely so we can process the rental and any charges you have authorised.
- Messages — any correspondence you send us by email, our website form, or social media.
3. How we use it & our lawful basis
- To manage your appointment, rental, collection and return — lawful basis: performance of a contract.
- To take payment and, where you have authorised it, to charge for damage, loss or late return — contract / legitimate interests.
- To reply to your enquiries and provide customer service — legitimate interests.
- To send you marketing (e.g. new stock, offers) only where you have agreed — consent. You can opt out at any time.
4. Who we share it with
We only share your data with trusted providers who help us run the business, including:
- Stripe — secure payment processing.
- Our booking & scheduling tools (e.g. our appointment and rental management software).
- Our delivery driver — for Republic of Ireland collection and return, limited to the details needed to complete the handover.
We never sell your data. Some providers (such as Stripe) may process data outside the UK/EU; where they do, they are required to protect it to UK/EU GDPR standards.
5. How long we keep it
We keep your booking and rental records for as long as needed to provide our service and to meet legal and accounting obligations (typically up to 6 years for financial records). Marketing contact details are kept until you unsubscribe.
6. Your rights
Under UK and EU GDPR you have the right to:
- Access the personal data we hold about you;
- Ask us to correct or update it;
- Ask us to delete it (where we are not legally required to keep it);
- Object to or restrict how we use it;
- Withdraw consent to marketing at any time.
To exercise any of these, email theloukni@outlook.com.
7. Cookies & the website
Our website is intentionally simple. It does not use tracking or advertising cookies. If you submit our booking form, the details you enter are sent to us so we can respond to your enquiry.
8. Complaints
If you have a concern about how we handle your data, please contact us first. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk, or, if you are in the Republic of Ireland, the Data Protection Commission at dataprotection.ie.
9. Changes
We may update this policy from time to time. The current version is always published here.
